給教授寫郵件總是比給朋友發郵件或發簡訊費心思。你的教育是職業生涯的開始,應該以專業的方式對待你在大學時期的互動,比如收發電子郵件。本期推文教你如何給教授發郵件,禮貌優雅地向他們尋求幫助😊
Making a Good First Impression
留下好的初印象
1)Check the syllabus for the answer first. Often, the question you would like to ask has already been answered in the material the professor has provided at the beginning of class. Asking a professor to go over this again makes you look like you are not a serious student, and it frustrates the professor because it wastes their time.
首先查閱Syllabus。通常,你的問題已經在教授在課程開始時提供的材料中得到了回答。讓教授再檢查一遍,會讓你看起來不是一個認真的學生,這會讓教授很沮喪,因為這會浪費他們的時間。
If your professor only gives you a list of readings, it's fine to email them with a question that isn't answered in the syllabus.
如果你的教授只給你一份閱讀材料清單,你可以給他們發電子郵件,詢問Syllabus中沒有的內容。
2)Use your academic account. Professors are deluged with emails every day. By using your school account, you'll have a better chance of avoiding the spam filter. Plus, your school email looks more professional. It also lets the professor know who's actually sending the email, as school emails are usually based on your name.
使用你的學校帳戶。教授們每天都會收到大量電子郵件。通過使用學校帳戶,你的郵件可以避免被過濾到垃圾郵件中。另外,你的學校郵件看起來更為正式。它還可以讓教授知道誰在發送郵件,因為學校的郵件通常都是以你的名字為基礎的。
3)Include a strong subject line. A subject line clues your professor into what the email is about before they open it. That can be helpful because they can set aside an appropriate amount of time to deal with it. Make sure the subject line is clear and to the point.
添加主題行。在教授打開郵件之前,郵件主題會提示他郵件的內容,這樣他們可以留出適當的時間來處理它。確保你的郵件主題清晰,切中要點。
For instance, you could write "Question about Current Assignment" or "Final Essay.」 例如,你可以寫「關於當前作業的問題」或「期末論文」。
4)Start with a greeting using the professor's title and surname. It can be tempting just to plunge into your request. However, when you're writing to a professor, you need to treat it more like you would a formal letter. Begin with "Dear Dr. Jones," followed by a comma. Make sure to use the professor's last name.
使用教授的頭銜和姓氏問候。你可能會很想直接提出請求。然而,當你給教授寫信時,你需要像對待一封正式的信一樣對待它。以「Dear Professor Jones」開頭,然後是逗號。一定要用教授的姓。
If you're not sure if the professor has a doctorate, you can address them as "Professor Jones.」
如果你不確定教授是否有博士學位,你可以稱呼他們為「Professor Jones」。
Creating the Content of Email
創建郵件內容
1)Remind the professor who you are. Professors have many students to keep track of, and they'll need to be reminded of who you are. Say your name, as well as the class you have with the professor, including the specific class period, such as "MWF at noon.」
提醒教授你是誰。教授有很多學生,他們需要提醒你是誰。說出你的名字,以及教授的班級,包括特定的課程期間,如」Monday/Wednesday/Friday的中午」。
2)Stick to the point. Professors are busy people, so you don't want to drag out your email. Say what you need to say as briefly as possible, leaving out any extraneous details.
講述重點。教授非常忙碌,儘可能簡短地說出你需要說的話,不要透露任何無關的細節。
For instance, if you have a question about an assignment, get to the point: "I have a question about the assignment you gave us last Tuesday. Do you want us to work in groups or alone?」
例如,如果你對一項作業有問題,請具體指出:」我有一個問題 是關於您上周二布置的任務。您希望我們是個人完成還是以組的形式?
3)Write in complete sentences. This email is not a Facebook post or a text to a friend. That means you need to use complete sentences when writing to your professor, as anything less does not look professional.
寫完整的句子。電子郵件不是 Facebook 帖子或給朋友的簡訊。這意味著你需要使用完整的句子,因為任何少的東西看起來都不專業。
For instance, don't write, "Awesome class, man... !」Instead, write, "You gave an enlightening lecture last class.」
例如,不要寫,」真棒,夥計...!" 相反,可以寫,」您上次的課非常有啟發性。」
4)Use proper punctuation. In an email to a friend, it may be fine to skip over periods and commas. However, when you're writing to your professor, make sure you are using punctuation where you should.
使用正確的標點符號。在給朋友的電子郵件中,跳過句點和逗號可能沒問題。但是,當寫信給教授時,請確保在應該使用標點符號的地方。
5)Spell out words. As much as text language is taking over the internet, professional emails are one place where you should leave it behind. That is, don't use "u" in place of "you," or "2morrow" in place of "tomorrow." Use proper spellings.
拼出完整單詞。正如文本語言正在接管網際網路,專業電子郵件是一個地方,你應該把它拋在腦後。也就是說,不要用」u"代替"你",也不要用"明天"代替"明天"。使用正確的拼寫。
6)Capitalize words appropriately. Words at the beginning of sentences should be capitalized, as should proper nouns. Don't slip into text speak where you selectively capitalize words. Make sure you are always capitalizing words that need to be capitalized.
適當地大寫單詞。句子開頭的單詞應該大寫,正確的名詞也應該大寫。不要滑入文本發言的地方,你有選擇地大寫單詞。確保始終大寫需要大寫的話。
Finishing Up Your Email
完成✅
1)Specify what action you want the professor to take. Make sure you've said exactly what you want from the professor at or near the end of the email. For instance, if you want a reply, let the professor know. If you need to meet with them, make that known as well.
具體說明你希望教授如何幫助你。確保你已經在郵件的結尾或接近結尾的時候準確說了你想說的話。例如,如果你想要回復,讓教授知道。如果你需要見他們,也要讓他們知道。
2)Read over your email for grammar. Go through your email to check for any grammar mistakes. Most of the time, you'll catch a mistake or two you made that you need to correct
檢查電子郵件語法。檢查你的電子郵件,看看有沒有語法錯誤。大多數時候,你會發現你犯了一兩個語法錯誤。
3)End the email with a salutation. Just like you began the letter formally, you need to end it formally as well. Use a word like "Sincerely" or "Best," followed by a comma and your full name.
用問候語結束郵件。就像你正式開始寫這封信一樣,你也需要正式地結束它。使用「Sincerely「或「Best」這樣的詞,後跟逗號和你的全名。
4)Check back again in a week. Once you've sent the email, you don't want to pester your professor for an answer. However, if you haven't heard back in a week, you can try again, as your email may have been lost in the shuffle.
一周後查看回復。一旦你發完郵件,先不要纏著你的教授回復了。如果一個星期都沒有收到回復,你可以再試一次,因為你的郵件可能已經在混亂中丟失了。
5)Acknowledge a reply. Once you receive a reply, make sure you acknowledge that you received it. A simple "Thank you" may be enough. If necessary, write a more extensive email using these same guidelines to keep it professional. If your problem or question is not being adequately resolved by email, ask for an appointment to meet in person.
確認收到回復。一旦你收到回復,一定要確認你已經收到了。一句簡單的「謝謝」就夠了。如果有必要,寫一個更廣泛的電子郵件,使用這些相同的準則,以保持它的專業性。如果你的問題沒有通過電子郵件得到充分解決,要求面談。
For instance, you could say, "Thank you for addressing my question. I'll see you in class." If you'd like to meet, you could write, "I appreciate your thoughts on this issue. Would you mind if we met in person to discuss it in more detail?"
例如,你可以說:「謝謝你回答我的問題,我們課上見。」 如果你想見面,你可以寫:「我很感激你對這個問題的看法。我們可以見面,更詳細地討論一下嗎?」
