在新加坡留學,工作的過程中,很多時候會遇到要發英文郵件的情況,如何高效地利用郵件進行溝通?這是個大學問。
下面幫大家整理了寫英文郵件的特殊技能,趕緊來學起吧!再也不用擔心被boss忽略掉重要信息啦!
在寫郵件之前,首先我們要明白,郵件最主要的作用是,溝通!所以不需要辭藻多華麗,關鍵是簡明扼要。給大家分享一個3c原則:
1. Deliver a Clear message
2. Use Correct grammar, vocabulary and punctuation
3. Be Concise
也就是clear 清晰,correct 正確,concise 簡明,把事情講清楚,有效地傳達信息,讓人迅速找到point才是一封郵件的使命,可以用短句子說完的東西,避免用複雜的長句。
下面我們正式開始聊聊郵件內容。基本格式:Subject line 主題、Salutation 稱謂、Main point 正文、Closing 結尾、Sign off 和 Signature block落款。
天知道有多少人忽略了郵件主題。常常不寫,或者就算寫了,也只寫個Hi……或者不夠具體,比如Question……這樣你的郵件很有可能被當做垃圾郵件。要知道你的老闆、同事、或者客戶可能每天要瀏覽幾十上百篇郵件,所以你需要給郵件一個簡單、明確、具體的標題,讓對方看一眼標題,甚至不用打開就知道這篇郵件要說什麼。
比如,不只是寫「Question」,而是寫「Question About Schedule for Friday’s Meeting」。
直接稱呼名字就好了,用Hi XX或者Hello XX,比如Hi Jack. 這也是相對來說,最常用的稱謂方式。
要正式一點,最好用 「Dear+姓」,比如Dear Mr. Green, Mrs. Green。如果不知道對方(女性)是否已婚,用「Ms.」來代替「Miss」或「Mrs.」最保險。如果不知道對方姓氏或性別,使用「Dear Sir/Madam」。
使用「Dear customers」或者「Dear partners」,給同事們可以寫「Dear All」「Hello everyone」。
開頭寒暄:雖然要簡潔,但還是需要基本的禮貌和簡單一句客套。

提問時,前面加個wondering表示想知道,比直接問一個問題更加委婉。

別人發郵件提供信息給你,中文郵件是懶得回的,不過英文郵件習慣感謝,簡單回復一個
